Job Description


We have an exciting opportunity for an Editorial Administrator to join the Dove team.

Receive author revised manuscripts as submitted. Verify completeness and quality of submission. Liaise with the QC team to check for plagiarism in the submitted revised manuscripts. Once submitted revised manuscripts pass their in-house checks, liaise with each journal’s Editor-in-Chief / Associate Editor and ensure that the author receives prompt notification of the Editor’s decision. The Revised Manuscripts Coordinator will liaise with the author to ensure the timely delivery of the revised manuscript and supply of that revised manuscript to the Editor. The Editor will make a final decision as to whether the manuscript can be published. That decision, whether accepted or rejected for publication is communicated to the author by the Revised Manuscripts Coordinator. Accepted manuscripts are then passed to the invoicing group in-house.

The current team is based in Auckland, New Zealand, so an understanding and flexibility with time zones is a must-have. It is envisaged that while training is being carried out, and depending on where you are based, you will need to be flexible with early morning/evening calls with the trainer in Auckland. Once trained you should be able to work your normal daytime hours but will need to be available for weekly calls with the rest of the team outside normal hours. Communication is vital in this team who use a Teams group chat to check in on unusual scenarios with each other and generally keep in touch on processes etc

What you’ll be doing

Main deliverables:

  • Prompt in-house checking of submitted revised manuscripts;
  • Clear notes made within “Content Reactor” to indicate any special issues arising;
  • Professional and formal communications with authors and editors at all times;
  • Next Action Dates are set in accordance with departmental standards. Those Next Action Dates are met
  • Any Key Performance Indicators that are set;
  • Standard compliance checks for revised manuscripts received.
  • Check that a clear and complete response letter has been submitted for all revised manuscripts, which contains point by point reply to reviewer’s comments.
  • Check all figures, tables, videos, and supplementary files provided and cited; and figure files are of correct format and high quality.
  • Check that any submitted graphical abstracts are of high quality and fit with the manuscript topic.
  • Select any appropriate eye-catching figures to be displayed on the website to draw readers attention to the article.
  • Check disclosure section doesn’t contain any links to the authors own website.
  • Abstract and references are included and in the correct format.
  • Keywords are included.
  • An SEO (Search Engine Optimisation) title and brief abstract is written for each paper.
  • All the authors affiliations include the required information.
  • Tracked and Clean version of revised manuscript match and are not different versions.
  • No changes to Author list as per GPP3 Guidelines
  • Check all authors have been checked through Retraction watch
  • Check Manuscript has passed iThenticate
  • Check Manuscript has passed Scidetect
  • Check requested ethics/ copyright corrections are addressed.
  • Check CC-BY license have correct funding
  • Check paper has not been published before
  • Check correct Editor has been selected. The same Editor at first decision should be the same for final decision (unless genuine reason to be different).
  • Organise a re-review of the revisions made if requested by the Editor.
